Leading events and logistics company passionate about delivering world-class events are seeking an Accommodation Coordinator, to join their team in Birmingham on a 4 month contract until the end of August 2026. We are seeking candidates who have worked in similar roles, such as an Hotel Reservations, Events Assistant, Conference Consultant or in logistic planning. Consideration can also be given to recent graduates in Event Management and salary is dependent on experience. Whilst this is a contract role, depending on business needs it may be extended or there may be other opportunities within the business.
JOB DESRIPTION:
Planning & Coordination
- Support the delivery of the Accommodation Plan for a major sporting event this summer, including room allocations, rooming lists, and accommodation readiness.
- Liaise with internal teams to gather, verify, and manage accommodation requirements.
- Maintain accurate records for room assignments, occupancy, arrivals/departures, and special requests.
- Assist in coordinating accessible accommodation
Client Service & Support
- Act as a key contact for accommodation queries and support requests.
- Provide proactive support, resolving rooming, logistics, and accommodation-related issues.
- Coordinate pre-event communications, including operational updates, policies, and guidance.
Operational Delivery
- Support the setup, operation, and closure of the events accommodation facilities.
- Work closely with internal departments and external accommodation providers to ensure smooth service delivery.
- Assist with delegation check-in/check-out and monitor daily accommodation operations, escalating issues where required.
Administration & Reporting
- Prepare schedules, reports, and documentation to support accommodation planning and operations.
- Maintain accurate records for risk management, quality assurance, and reporting purposes.
- Contribute to post-event reviews and handover documentation.
EXPERIENCE REQUIRED:
Experience in accommodation, hospitality, events, or operational environments (major sporting event experience advantageous).
