As an Travel Co-ordinator you will be working as part of the Admin team where you will be responsible for booking all travel arrangements for internal staff including members of the management team as well as providing them with administrative and secretarial support. The successful candidate must have experience booking business travel, a proven administration background and a keen eye for detail. JOB DESCRIPTION:

*Provide advice and manage worldwide business travel requirements for staff: including air, rail, taxi and hotel bookings, including providing advice on the best routes and rates available.
*Ensure all travel bookings are in line with the Company's travel policy and authorized appropriately.
*Check that all travel arrangements are correct and issued prior to travel, including pulling together complex trip itineraries and travel packs, when required.
*Organise and advise on visa applications, second passports and passport renewals in a timely and efficient manner.
*Input all travel booked into the travel database, ensuring this is up to date and accurate and provide reports to the finance department as required.
*Provide advice to staff on vaccinations prior to travel.
*Put forward recommendations for changes in the Company travel policy, as applicable.
*Daily lunchtime cover for the receptionist and covering reception at the end of the day for 1 hour.
*Assist with front of house reception during busy periods or when cover is needed: including answering and transferring calls, meeting and greeting visitors, taking drinks orders and arranging catering for meetings etc.
*Diary Management for 8 members of the Management Team, including arranging meetings, both internal and external.
*Provide support with the submission of expenses for the 8 members of the Management Team, as required.
*Helping with overflow admin duties, which may include typing up/formatting/checking fee proposals, programmes of work, agendas, meeting minutes or studio checks.
*Providing studio and health and safety inductions for permanent and freelance members of staff, as required.
*Assisting with the setup of company meetings, as required.
*Ensuring the Travel & Admin Assistant section of the Admin Index is current at all times and any changes are communicated to the team.
*Providing cover for other members of the admin team, as required.

SKILLS REQUIRED:

*Previous experience of working in an administrative role, including experience with booking business travel.
*A good geographical knowledge is required.
*Effective and confident communicator who is able to communicate with people of all levels.
*Excellent organisational skills with the ability to manage and prioritise workload effectively and remain calm under pressure.
*Ability to work with confidential information.
*Methodical with meticulous attention to detail.
*Experience of working in a busy office, ideally within a similar industry/working environment.

HOURS OF WORK:

37.5 hours per week between; 9:30am - 6pm (Candidates need to be flexible to cover the early reception shift which starts from 8:30am during periods of absence if necessary)

SALARY:

The successful candidate can expect a basic salary of up to £30,000 per annum (DOE).
