We are seeking an experienced contracts co-ordinator to join this established and friendly travel company. You will have good attention to detail along with strong data entry experience.
Job Purpose:
oThe principle function of this role is to provide full administrative support within the Contracting Department
oPlaying a vital role within the Department, this role includes supervising a team of FIT administration staff, including their daily workload and assisting with a range of operational tasks and queries
oResponsible for the timely and accurate loading and maintenance of Hotel Contracts, Special Offers, Client Proposals, Close Outs and other ad-hoc contracting related tasks
oIn addition this role involves using the in-house database for a range of tasks, including the loading of data, producing reports and updating product information
Job duties:
oEnsure hotel contracts are up to date, maintained, and investigate any discrepancies
oEntering a range of data, including contract rates, conditions and allotment into our in-house database
oManage and maintain incoming and internal product information (contracts, special offers, supplier information, contact details, ad-hoc information) in an accurate and timely manner
oMonitor and manage the Administration Mailbox
oAssist with the development of relationships with both clients and suppliers
oEnsuring stop sales, commercial offers and supplier details are maintained and up to date
oEnsuring Competitor Analysis tasks are completed to schedule
oSupport the Head of Contracting with any ad-hoc tasks
Candidate Requirements:
oResourceful and practical with the ability to solve problems quickly and effectively
oSelf-motivated and good at planning and organising own time without supervision
oNumerate with good data entry skills, a high level of accuracy and attention to detail
oDemonstrate a positive attitude to other members of the team, offering assistance whenever necessary
oFlexible and adaptable to changing priorities
oExcellent communication and interpersonal skills
oAbility to work under pressure and to meet deadlines
oCapable of working alone or as part of a team
oConfident knowledge of Microsoft Word, Excel, Outlook and the Internet
oExperience of travel reservations systems and databases
oFluent written and spoken English essential
