Once the candidate has accepted the job and satisfactory references have been completed the Manager should prepare an Induction Program for the new Employee. This guide can be used for existing employees moving into a new department or location. It is recommended that a form or checklist be prepared that will cover the following areas:
  • First day tour and introductions – toilets, cloakroom, entrances and exits, fire/evacuation exits, canteen, refreshment facilities, introduction to colleagues, managers contacts in other departments and tour the appropriate departments
  • Conditions of employment including pay, overtime rates, clocking in procedure, hours of work, lunch break, flexible working procedure, absence notification procedure, sickness payment, holiday entitlement and authorisation, pension details, life assurance, medical insurance and any other benefits
  • Items issued to employee – company car, mobile phone, computer, other equipment, contract of employment, staff handbook, grievance and discipline procedure, other company rules, protective clothing, security/access pass and holiday record form
  • Receive from employee – P45, national insurance number, other evidence of authority to work in the UK, bank details, emergency contact details, confirmation of address and telephone numbers and copy driving licence/birth certificate/qualifications
  • Outline health and safety policy, fire/evacuation procedure, location of nearest exits, smoking rules, protective wear requirements, accident reporting, first aiders and first aid procedure
  • Any other policies and procedures - performance review, training and development and other leave (such as paternity, maternity, compassionate etc)
  • Company details – history of the company, products and services, locations, people, departments, future plans and objectives
  • Detail employee’s new position – reporting structure, outline key duties, internal and external contacts, individual objectives and departmental objectives
  • Progress checks after one week, one month and three months
  • Sign off an induction completion form indicating that the employee has received the full induction

  • Set out a standard process which acts as a reminder to Employers and Managers when inducting and settling new employees into the Company or when an exisiting employee changes department or location
  • Provides detailed action required by the employee and employer during the first few days and weeks of employment
