Travel trade Recruitment Ltd is registered in the UK as a recruitment agency as defined in the Employment Agencies Act 1973 and we provide permanent and temporary recruitment services to clients and candidates working within the Travel industry. We also provide payroll services for contractors. (Company registration number 04277919)

Our service for Candidates is absolutely FREE OF CHARGE and you can trust us with your information as we are committed to providing a safe and secure user experience. We do not sell your data to third parties and will ensure that any information you submit to us is only used for the purpose of Recruitment Services as set out in this Data Privacy Notice.

Who does this Privacy Policy apply to?

This Privacy Policy applies to the personal data of our Clients and Candidates and other people whom we may contact in order to find out more about our Candidates, such as referees.

It is important to point out that we may amend this Privacy Policy from time to time. Please just visit this page if you want to stay up to date, as we will post any changes here.

If you are dissatisfied with any aspect of our Privacy Policy, you may have legal rights and, where relevant, we have described these as well.

What personal data do we collect about you?

Candidates: We collect and use only the information necessary to be able to provide you with a recruitment service that includes the need to assess your eligibility through the different stages of recruitment. This information includes (but is not limited to): CVs, identification documents, educational records, work history and employment references.

We may also collect sensitive personal data about you. Sensitive personal data is information which is intensely personal to you and is usually irrelevant to our consideration of your suitability for a job role. Examples of SPD include information which reveals your political, religious or philosophical beliefs, sexual orientation, race or ethnic origin, or information relating to your health.

Regardless of the basis for your dealings with us, we request that you do not provide us with any sensitive personal data unless absolutely necessary. However, to the extent that you do provide us with any sensitive personal data, such as data which you choose to share with us in conversation, we shall only use that data for the purposes of our relationship with you or for the provision of our Recruitment Services. This will be for one or more of the following reasons:

• You have explicitly consented to the processing

• For the purpose of our assessment of your suitability for job roles or working capacity

• Where processing is necessary for the purpose of obligations or rights under employment, social security or social protection law, to maintain records of our dealings to address any later dispute, including but not limited to the establishment, exercise or defense of any legal claims

Clients: We collect and use only the information necessary to provide you, or people in your organisation with services such as finding the best available candidates for your opportunities. Information held may include; company name and address, names and contact details of company employees of who we may communicate with in respect to recruiting new employees and financial transactions, contractual agreements in respect to our agreed terms and conditions of business, job descriptions provided to us by the client.

Where do we collect personal data about you from?

The following are the different sources we may collect personal data about you from:


• Directly from your CV

• Applications made via our website www.traveltradejobs.com

• From notes taken following a telephone conversation or interview with one of our consultants

• Social media platforms like LinkedIn, Facebook or Twitter

• Online Job boards where you have consented to be contacted by job recruiters for the purpose of sourcing candidates for different job roles

• By Reference or word of mouth. For example, you may be recommended by a friend, a former employer, a former colleague or even a present employer.

• Employer references


• In the public domain i.e. Companies House

• Telephone or email marketing

• Social Media websites

• Job adverts

• Online job boards

• Referees

• Referrals

How do we use your personal data?

Candidates: We use your personal data to match your skills and experience with a potential vacancy with one of our travel industry clients. We will initially collect basic information on you such as contact details, career history, job role and experience plus preferred geographical location. We will then contact you and provide you with details of the employer and vacancy. Then with your prior consent only, we will pass this information on to the client in search of personnel. If you are chosen by the client and go through to the next stage we may then collect more information from you following your interview in order to provide feedback to the client. Details of all communications will be recorded on your personal file held on our in-house data-base. We may use your data to send you information that you may find interesting such as suggesting other jobs to you.

Clients: We use your personal data to ensure that we can find the right candidates for the opportunities that you may have or for contractual obligations.

What happens if you do not provide us with the information we request or ask that we stop processing your information?

There may be circumstances where we require you to provide data which is necessary for us to meet statutory or contractual obligations, or perform our Recruitment Services. If you do not wish to provide us with information we request, then please notify us. However, please be aware that as a result we may be unable to provide you, or the party you represent, with a Recruitment Service, and in some cases, this may result in a breach of the contract we have with you or a third party you represent.                                          

Do we make automated decisions concerning you?

We may use software to review the personal data of individuals recorded on our database, or who have applied for specific roles. The software may determine suitability for a specific role via targeted questions relating to the role, and/or may identify and select individual personal information according to the stored characteristics. For example, the software may enable us to quickly identify individuals from our database who have specific skills, e.g. a Marketing Executive or a Travel Agency Manager and exclude individuals whose characteristics do not match particular requirements of a job role.

Who do we share your personal data with? 

Candidates: With your prior consent we share your personal data with the client who has a position to fill, in order to determine with the client whether you are a good fit for the available position.

We may also conduct checks on you to verify the information you have provided and where we do this we share your information with our appointed background checking company.

Unless you specify otherwise we may share your data with any of our associated third parties - for example our payroll and pension providers – to provide you with the best possible service.

Clients: We share your data with candidates during the course of providing recruitment services to you.

What legal basis do we have for using your information?

Consent or Legitimate Interests:

We may lawfully store and process your personal data on the basis that it is our legitimate business interest to do so when your data is provided to us for the purpose of recruitment services. Data may be provided to us in a number of different ways:

• Registering on Our Website: By registering on www.traveltradejobs.com and selecting the relevant privacy settings in regards to your data, you are consenting to Travel Trade Recruitment processing your data for the purpose of our recruitment service.

• Direct Application: When applying for a job we have advertised on our website, an online job board, social media platform or directly by email or by telephone to one of our Consultants, Travel Trade Recruitment will consider you are consenting to the storage and processing of your data for the purpose of providing our recruitment service.

• Making your CV available to recruitment agencies on Job Boards or Social Media Platforms: If you have agreed for your CV to be visible to recruitment agencies on an online job board or social media platforms, we consider that you wish to be contacted by recruitment agencies about potential career opportunities. Therefore there is a legitimate business interest for Travel Trade Recruitment as a recruitment agency to process your personal details in order to provide a recruitment service. Our recruitment service includes providing candidates details of suitable vacancies that may be of interest to them.

• In other cases: Where information from third party sources is of no use to us, or where you have notified us that you do not want us to provide you with services, we shall discard it.  However, we may maintain a limited record in order to avoid the duplication of process. Where we consider that information may be of use to us in pursuance of the provision of our Recruitment Services, any processing will be in accordance with this Privacy Notice. How do we safeguard your personal data?

Data Security and Confidentiality

It is our policy to ensure, in so far as is reasonably practicable, that our systems and records are secure and not accessible to unauthorised third parties in line with contemporary practice.

Notification of Breaches

Travel Trade Recruitment Limited is aware of our responsibility to protect your personal data and to only share details with third parties mentioned in our Data Protection / Privacy Statement. In the unlikely event that our computer systems are compromised leading to a potential loss of confidentiality, we will report this to you by email within 72 hours of becoming aware of the breach.

Do we transfer your data outside the EEA?

In the course of the provision of our Recruitment Services we may transfer data to countries or international organisations outside of the European Economic Area (EEA). This may, for example, be to Clients or Candidates, or third parties who provide support services to us.  Where information is to be so transferred, it may be to a country in respect of which there is an adequacy decision from the EU Commission. However, if this is not the case, it is our policy to take steps to identify risks and in so far as is reasonably practicable, ensure that appropriate safeguards are in place.

Group companies & transfer

Although this Privacy Notice applies to Travel Trade Recruitment Limited, your data may be accessible to, and shared with other organisations within our group including Travel Trade Recruitment (Australia) PTY Limited for any of the purposes set out within this Privacy Notice, or where we have shared administration systems and staff.

In the event of a sale, merger, liquidation, receivership or the transfer of all or part of our assets to a third party, we may need to transfer your information to a third party. Any transfer will be subject to the agreement of the third party to this Privacy Notice and any processing being only in accordance with this Privacy Notice.

How long do we keep your personal data for?

Retaining your data

In most circumstances your data will not be retained for more than 2 years from the last point at which we provided any services or otherwise engaged with you and it is our policy to only store your personal data for as long as is reasonably necessary for us to comply with our contractual legal obligations and for our legitimate business interests.  The following sets out the lengths of time we retain your data or certain elements of your data:

a) For a period of 2 years from the last date of meaningful contact where your personal information identifies specialist skill sets which may remain in demand

B ) For 2 years from the date we last provided our Recruitment Services to you for the purposes of providing evidence of the Recruitment Services we provided to you (Regulation 29 of the Conduct of Employment Agencies and Employment Businesses Regulations 2003);

c) For 2 years from the end of your last period of engagement or employment for the purposes of providing evidence that right to work checks were carried out under The Immigration (Restrictions of Employment) Order 2007;

d) For 3 years from the end of the relevant year for the purposes of any parental/adoption leave records or statutory maternity or paternity pay; and

e) For 6 years from the end of each tax year for the purposes of retaining payroll records under the Income Tax (Employment and Pensions) Act 2003,

f) For 6 years from the end of each tax year for the purposes of keeping VAT records for any VAT registered limited company contractors.

However, should we wish to retain your data for the purpose of recruitment services for longer than the period of time specified above, we will only continue to store your data with your prior consent.

If however you believe that we should delete your personal data at an earlier date, please inform us in writing of your reasons.  Please see ‘Your Rights’ below

What rights do you have in relation to the data we hold on you?

By law, you have a number of rights when it comes to your personal data. Further information and advice about your rights can be obtained from the data protection regulator (ICO).

1. The right to be informed     

You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is why we are providing you with the information in this Policy.

2. The right of access

You have the right to obtain access to your information (if we’re processing it), and certain other information (similar to that provided in this Privacy Policy). This is so you are aware and can check that we are using your information in accordance with data protection law.

3. The right to rectification     

You are entitled to have your information corrected if it’s inaccurate or incomplete.

4. The right to erasure

This is also known as ‘the right to be forgotten’ and, in simple terms, enables you to request the deletion or removal of your information where there’s no compelling reason for us to keep using it. This is not a general right to erasure; there are exceptions.

5. The right to restrict processing

You have rights to ‘block’ or suppress further use of your information. When processing is restricted, we can still store your information, but may not use it further. We keep lists of people who have asked for further use of their information to be ‘blocked’ to make sure the restriction is respected in future.

6. The right to data portability

You have rights to obtain and reuse your personal data for your own purposes across different services, this enables you to move, copy or transfer your information easily between our IT systems and another provider safely and securely, without affecting its usability.

7. The right to object to processing     

You have the right to object to certain types of processing, including processing for direct marketing.

8. The right to lodge a complaint          

You have the right to lodge a complaint about the way we handle or process your personal data with the national data protection regulator (ICO).

9. The right to withdraw consent

If you have given your consent to anything we do with your personal data, you have the right to withdraw your consent at any time (although if you do so, it does not mean that anything we have done with your personal data with your consent up to that point is unlawful). This includes your right to withdraw consent to us using your personal data for marketing purposes.

We act on all requests and provide information free of charge.

Please consider your request responsibly before submitting it. We’ll respond as soon as we can. Generally, this will be within one month from when we receive your request but, if the request is going to take longer to deal with, we’ll come back to you and let you know.

We may contact you to help confirm your identity and confirm your request has been received. In the event that you have requested THE RIGHT OF ACCESS TO YOUR DATA, THE RIGHT TO ERASURE OF YOUR DATA or THE RIGHT TO DATA PORTABILITY, we may ask for proof of identity to be sent to us by email i.e. (Scanned copy of passport or recent utility bill).

As we have a legal obligation to ensure that any request to delete, change or send a copy of your data is made by the person whose data we hold, we may be entitled to refuse to act on the request if proof of identity is not supplied.
